Allina Health is a not-for-profit health system that cares for individuals, families and communities throughout Minnesota and western Wisconsin. They are seeking a Facilities Project Coordinator to provide support to regional strategic partners and project managers during project completion, including coordination of purchase orders, documentation support, and communication with stakeholders.
Responsibilities
- Provides project management support
- Assists to draft applicable Requests for Proposal, contracts and other applicable documents and submit for approval
- Provides reports (e.g., Financials, Risk Management, etc.)
- Schedules meetings
- Provides documentation support
- Crafts and distributes communications to key stakeholders and partners
- Assists with closeout activities
- Issues purchase orders(PO)
- Processes PO requests
- Initiates Purchasing Agent Authorizations as needed
- Corresponds with vendors and contractors
- Documents activities in project management software
- Processes Invoices
- Organizes and reviews incoming invoices and applications for payment, ensuring that the correct project/PO is being charged and amounts are appropriate
- Submits invoices to Project Manager for approval
- Submits approved invoices to Accounts Payable
- Works collaboratively with Project Manager, Accounts Payable and contractor/vendor to resolve payment and invoicing issues
- Departmental operations, standardization and system support
- Participates in developing and implementing standard contracts, policies, procedures and practices
- Participates in system-wide initiatives
- Maintains professional relationships with internal and external project delivery partners
- Other duties as assigned
Skills
- Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description
- Valid Driver's License required upon hire - MN and WI residents must obtain a valid driver's license in their state of residence within 60 days of employment
- High school diploma or GED
- Associate's or Vocational degree in Construction Management
- Bachelor's degree in Construction Management
- 0 to 2 years of construction project management or related experience
