Remote Office Administrator / Order Processing & Bookkeeping (TN Only)

About the Role: We are a small, growing U.S. team for a global manufacturer of welding and plasma cutting equipment. We are seeking a reliable and detail-oriented professional to support daily business operations across order processing, bookkeeping, and customer communication. This is a highly independent role. You will work closely with the U.S. manager and coordinate with our overseas team to ensure smooth day-to-day operations. Key Responsibilities: Order Processing & Customer Support • Review and process purchase orders from distributors and customers • Send order acknowledgements and provide order status updates • Coordinate shipments with third-party warehouse/logistics partners • Send tracking information and follow up on deliveries • Respond to phone and email inquiries related to orders and general product questions (non-technical) Bookkeeping & Financial Support • Perform daily bookkeeping tasks (AP/AR support) • Track incoming payments and assist with collections as needed • Manage outgoing payments and maintain organized financial records • Collect and submit invoices/receipts to third-party accounting firm Administrative Support • Manage company PO Box and incoming mail (scanned/forwarded as needed) • Handle basic business compliance tasks (registrations, renewals, documentation) • Maintain accurate and organized records across systems What We’re Looking For: • 2+ years of experience in administrative, operations, bookkeeping, or similar role • Strong attention to detail and organizational skills • Ability to work independently and manage multiple priorities • Professional communication skills (phone and email) • Comfortable using spreadsheets, order systems, and basic office software Preferred Qualifications: • Experience with accounts payable/receivable • Background in manufacturing, distribution, or industrial products • Familiarity with welding or plasma cutting equipment is a plus Work Environment: • Fully remote position (Tennessee residency required) • Small U.S. team (2 people) with support from international staff • High level of responsibility and autonomy Why Join Us: • Opportunity to take ownership of key business operations • Work directly with leadership in a small, agile team • Stable, long-term position with a growing company Pay: $40,000.00 - $45,000.00 per year Benefits: • Flexible schedule Application Question(s): • Are you currently located in Tennessee and able to work full-time remotely? • Do you have at least 2 years of experience in an administrative, operations, or bookkeeping-related role? • Are you comfortable handling customer phone calls and emails on a daily basis? • Do you have experience with basic bookkeeping tasks such as invoicing, tracking payments, or accounts payable/receivable?
