POSITION SUMMARY INFORMATION: DUTIES AND REQUIREMENTS
Job Summary:
The Medical Support Specialist, whom is either a Medical Assistant or EMT, will provide administrative support to the medical team.
We are seeking a highly organized and detail-oriented individual to join our Pre-Employent Medical Team. In this critical support role, you will play a key part in ensuring that candidates and employees are efficiently processed through the medical clearance process. You will be one of the primary points of contact for coordinating medical appointments and ensuring smooth communication between candidates, medical providers, and internal teams.
Duties/Responsibilities:
Some of your duties may include:
- Coordinate and schedule pre-employment medical examinations, laboratory tests, vaccinations, and others as requested for candidates deploying.
- Manage high-volume scheduling across multiple time zones and international medical facilities.
- Communicate appointment details, instructions, and requirements clearly to candidates via phone and email.
- Track and monitor progress through the medical clearance process.
- Maintain accurate and up to date records in our tracking and compliance systems.
- Follow up on pending results, missing documentation, and rescheduling as needed.
- Liaise with recruiters, medical providers, and overseas project teams.
- Ensure strict confidentiality and compliance with privacy regulations and company security protocols.
- Provide exceptional customer service to candidates through the process.
- Performing all other duties and tasks assigned.
Required Education, Certifications, Licenses, and Experience:
- Minimum three (3) years of experience as a Medical Assistant or EMT.
- Must possess valid BLS (CPR) certification
- Knowledge of medical terminology and clinical procedures
- Knowledge of HIPAA compliance
- Proficiency in Microsoft Office 365 and Adobe
- Excellent interpersonal and communication skills
- Ability to remain calm and professional in stressful situations
- Ability to work independently and as part of a team
- Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment
- Outstanding written and verbal communication skills
Preferred Education, Certifications, Licenses, and Experience:
- Valid Medical Assistant (MA) certification/license or EMT license.
- Administrative experience, preferably in healthcare, medical scheduling, staffing, or contract support. Experience working in an office clinic or similar healthcare setting, administration, occupational health, or military/veterans support
- Experience working remotely in an admin role.
Work Environment:
Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise.
Physical Requirements:
Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach during shifts. Employees may be also required to use gear to move items around, including, but not limited to, carts and dollies. Employees may also be occasionally required to lift and/or move up to 49 pounds.
