Role Overview
We're seeking an experienced Customer Service Representative/Order Entry Specialist to join our dynamic team. As the first point of contact for our clients, you'll play a critical role in ensuring customer satisfaction and loyalty. Responsibilities
As a Customer Service Representative/Order Entry Specialist at arenaflex, you'll be responsible for:
- Order entry: Accurately and efficiently processing customer orders, ensuring timely and accurate fulfillment.
- Order shipment: Coordinating and tracking shipments, resolving any issues that may arise, and communicating with customers and sales teams.
- Invoicing: Generating and sending invoices to customers, ensuring timely payment and resolving any discrepancies.
- First touch – Customer/sales rep communications (phone, email): Providing exceptional customer service, responding to inquiries, and resolving issues in a timely and professional manner.
- Product support (basic troubleshooting): Assisting customers with product-related issues, providing solutions, and escalating complex problems to technical teams.
- Freight quotes: Obtaining and providing freight quotes to customers, ensuring accurate and competitive pricing.
- Outbound PO communications: Coordinating and communicating with suppliers, ensuring timely and accurate delivery of products.
- Inbound/outbound logistics (carriers): Managing and resolving logistics-related issues, ensuring timely and accurate delivery of products.
- Field customer inquiries: Responding to customer inquiries, resolving issues, and providing exceptional service.
- Coordinate shipping/stock transfers: Ensuring timely and accurate shipping and stock transfers, resolving any issues that may arise.
- Sample fulfillment: Coordinating and shipping samples to customers, ensuring timely and accurate delivery.
- Customer sales inquiries: Responding to customer sales inquiries, providing product information, and resolving issues.
- Stock level check: Monitoring and reporting on stock levels, ensuring accurate and timely inventory management.
- Communication of shipment status change/issues to sales for resolution (standard products): Keeping sales teams informed of shipment status changes and issues, ensuring timely resolution.
- Other duties as assigned by Director of Operations: Performing additional tasks and responsibilities as required to support the team and drive business success.
Requirements
To succeed in this role, you'll need:
- Experience with Microsoft Office software: Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Proficient in data entry with attention to detail: Accurately and efficiently entering data, ensuring high levels of accuracy and attention to detail.
- Excellent verbal and written communication skills in English: Providing exceptional customer service, responding to inquiries, and resolving issues in a timely and professional manner.
- Ability to type efficiently while engaging with customers: Typing accurately and efficiently while communicating with customers, ensuring timely and accurate issue resolution.
