Accounting Operations Manager
We’re looking for someone who’s equal parts accountant, operations specialist, and systems thinker. In this role, you will manage the books, handle payroll, and keep us financially organized—but you’ll also play a vital role in shaping how our business operates and scales.

Key Responsibilities
Accounting Finance
- Manage all aspects of Accounts Payable, Accounts Receivable, and Collections
- Track and categorize both operational expenses and project-specific costs
- Create and maintain project-specific profit and loss statements and generate firm-wide financial reports
- Prepare timely and accurate financial data for monthly tax reviews
- Maintain clean, reconciled books (QuickBooks Online preferred)
Payroll Compliance
- Collect employee hours in Buildertrend and enter them into Justworks for bi-monthly payroll processing
- Manage and update resale certificates, W-9s, and other compliance documentation
Office Management
- Oversee the day-to-day studio operations to ensure efficiency
- Streamline vendor management, purchasing processes, and internal administrative systems
- Maintain digital filing systems and operational documentation
Strategic Operations Marketing Support
- Identify and implement improvements to business operations and support scalable growth
- Collaborate on software evaluations, vendor sourcing, and project management tools
- Provide support for basic marketing initiatives such as newsletter coordination, CRM tool research, and contact database updates
- Track project milestones to enhance visibility and planning across teams
Requirements
Qualifications
- Minimum 3 years of experience in accounting, office management, or business operations
- Proficiency in QuickBooks Online, Excel or Google Sheets, and payroll platforms such as Justworks
- Strong organizational and problem-solving skills with a systems-oriented mindset
- Comfortable working independently and managing multiple responsibilities in a small team environment
- Proven ability to streamline processes and improve internal workflows
- Bonus: Experience working with creative teams or in the construction industry

- At least 15mbps for the main internet and at least 10mbps for backup
- A desktop or laptop that has an i5 processor with at least 8 GB RAM and an i3 processor for backup
- Note: Back-ups should still be able to function when there is a power interruption
