Job Description:
• Monitor and manage the admin inbox daily, ensuring compliance with disclaimers
• Assist legal team with communication to opposing counsel and agencies
• Run weekly payment audits and send overdue reminders
• Process and record initial and recurring payments accurately
• Follow up with clients for missing documents, signatures, or payments
• Draft, send, and upload client letters and agency submissions
• Conduct weekly audits for missing documents and payment records
• Maintain an organized calendar of calls, deadlines, and payment dates
• Schedule welcome calls within 48 hours of client onboarding
• Track and upload signed engagement agreements into Clio
• Keep Clio database updated and organized across all active cases
Requirements:
• Minimum 1 year of experience in administrative support
• Excellent organizational and time-management skills
• Strong attention to detail and accuracy
• Ability to manage multiple priorities and deadlines
• Professional written and verbal communication skills
• Tech-savvy with proficiency in CRM and legal software
• Problem-solving mindset and proactive approach
• Ability to work independently and as part of a team
• Confidentiality and discretion in handling sensitive information
