Description TITLE: Sr. Specialist, Learning Shared Services STATUS: Full Time Exempt  LEVEL: Senior Specialist DIRECT SUPERVISOR: Senior Director, Learning Shared Services SUPERVISORY POSITION Travel: Up to 10% of travel is required to fulfill job responsibilities which may include evenings/overnight and weekends for the annual meeting, and/or staff retreats. POSITION DESCRIPTION SUMMARY This position works within the Learning Shared Services (LSS) team of the Education Department and is responsible for operational oversight of shared services functions that support ACR’s educational events, programs, and products. This position ensures the effective administration of the learning management system (LMS), abstracts and submissions, workflow management, and coordination of cross-functional operational activities and communications. This position works with their supervisor, internal stakeholders, subject matter experts, and external vendors to ensure consistent implementation of education operational best practices and the delivery of high-quality educational activities DUTIES & RESPONSIBILITIES Learning Management System (LMS) Administration - Provide oversight of LMS administration for the ACR’s programs that require being hosted on the LMS, including course configuration, content uploads, testing, and troubleshooting. - Advise internal stakeholders on the design of live and enduring learning materials to ensure consistent learner-facing experience, providing business owners with LSS templates and best-practice guidance. - Coordinate the resolution of LMS-related technical issues in collaboration with the educational technology team member and ACR’s IT operations. - Ensure the LMS content structure, tagging, and navigation aligns with established standards and in collaboration with the Marketing and Communications Department for a unified user experience. - Support learner customer service needs related to LMS functionality, credit claiming, transcripts, and abstract management. - Participate in user acceptance testing (UAT) for LSS related technologies (such as LMS, Cadmium, etc.) during updates, enhancements, and integrations - Monitor and report on platform demand to ensure usage stays within contracted thresholds. - Monitor LMS contractor needs related to the training of ACR staff. Abstract Management Oversight - Provide operational oversight of abstract and submissions technology and management process for the Education Department and across the ACR education technology platform (e.g. Cadmium) as assigned. - Oversee the operations of abstracts and submissions management technologies in conjunction with direct report. - Supervise direct report to ensure consistent execution of ACR’s programming of abstracts and submissions activities. - Provide operational oversight of ACR poster halls and tours in conjunction with direct report. - Identify abstracts and submissions timelines and deliverables with business owners to support program readiness.  - Serve as staff liaison backup to Committee on Education, Abstracts Subcommittee. Customer Service, Workflow & Project Management - Monitor education and LSS-related support tickets, identifying recurring patterns and issues. - Identify recurring user pain points across LMS, abstracts, faculty, and credit claiming. - Serve as owner and administrator of departmental project management platform (e.g., Asana). - Monitor cross-functional project timelines and identify risks or blocks. - Train department and other ACR staff, when appropriate, on workflow standards and project management practices related to LSS operations in conjunction with direct report - Maintain documentation to ensure continuity and operational consistency related to LSS technology and operations. Accreditation Support & Compliance Backup - Serve as tertiary (third level) support for accreditation-related activities, including mitigation documentation and slide deck reviews. - Coordinate with accreditation team member to ensure LMS credit claiming processes continue aligning with compliance requirements. - Assist with preparation of compliance documentation as requested. Cross-Functional Support - Coordinate with supervisor on internal communications related to educational product readiness and LSS initiatives. - Support supervisor and department head with operational reporting and documentation. - Ensure alignment between LMS administration and accreditation timelines, and abstract management as needed. Requirements - BA/ BS plus five (5) years’ experience in medical education operations, LMS administration, association management, or a related field or MS/MA/MBA/JD plus three (3) years’ experience in a related field, or more than eight (8) years’ experience with no post-secondary degree. - Experience managing workflows and using project management platforms (e.g., Asana or similar). - Strong collaboration, communication, and writing skills, with demonstrated success partnering with staff, volunteers, members, and vendors at all levels. - Professional proficiency with Microsoft Office programs including Excel, PowerPoint, Outlook, and Word is required. Web browsing proficiency is also required. - Familiarity with virtual meeting software applications such as Zoom, Microsoft Teams or similar is required. - Proactive ability to organize and manage several projects simultaneously and exercise judgment in prioritizing and handling responsibilities. - Experience supporting program implementation and evaluation. - Proven analytic thinker with experience using analytics to drive improvements. - Demonstrated experience administering a learning management system for a medical society preferred. - Familiarity with CME/MOC processes and joint accreditation standards preferred. - Familiarity with and experience adhering to organizational policies and procedures for compliance with accreditation requirements as specified by the Accreditation Council for Continuing Medical Education (ACCME), the Joint Accreditation for Interprofessional Continuing Education™ (JA) and the American Board of Internal Medicine (ABIM) Maintenance of Certification (MOC) Program preferred. - Certification (e.g., CHCP - Certified Healthcare CPD Professional) preferred. - Experience with Cadmium, Totara LMS, Nimble AMS, presentation management systems, project management systems, or similar association platforms preferred.   We participate in E-Verify.   The ACR provides equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, gender, sexual orientation, national origin, age, disability, genetic information, marital status, amnesty, or status as a covered veteran in accordance with applicable federal, state and local laws.
