Working Hours: 7:00 AM – 3:00 PM Florida time (EST) or 9:00 AM – 5:00 PM Florida time (EST)
We are looking for a detail-oriented and highly organized Junior Administrative Assistant to support daily operational and administrative processes for a HVAC company based in Florida.
This is an excellent opportunity for an early-career professional looking to grow within a project-driven environment while working with an international team. You will support project coordination, reporting, supplier interactions, procurement-related processes, and documentation management to ensure smooth day-to-day operations.
Responsibilities
• Register and manage company participation on tender and procurement platforms;
• Support preparation and submission of documentation for tender participation;
• Prepare and track mileage reimbursement reports;
• Open and manage supplier credit accounts;
• Prepare reports related to tools and equipment usage;
• Place and track equipment and supply orders;
• Assist in maintaining accurate office and project documentation;
• Coordinate with vendors and internal team members;
• Support day-to-day administrative coordination as needed.
Requirements
• 1–2 years of relevant experience (administrative support, project coordination, procurement, or similar);
• Fluent English (written and spoken);
• Strong attention to detail and high level of accuracy;
• Analytical mindset with ability to work with reports and documentation;
• Quick learner who can adapt to new systems and processes;
• Strong communication skills;
• Proficiency in document management and digital tools (e.g., Google Workspace, Excel, Trello, ChatGPT etc.);
• Comfortable working US business hours.
