MIT Office of Resource Development is seeking a Data Administrator to manage sponsored program awards and ensure data integrity within the Research Administration Services (RAS) department. The role involves evaluating sponsor requirements, maintaining compliance approvals, and collaborating with financial staff to ensure accurate reporting and closeout of awards.
Responsibilities
- Responsible for reviewing, establishing, and maintaining all sponsored program awards using Kuali Coeus, MIT’s enterprise grants management system, and performing data quality reporting and review to ensure the integrity of award data and accurate transfer of information to the Institute’s financial system of record
- Evaluating sponsor requirements related to authorized total and indirect costs, determining appropriate account setup, and assigning appropriate costing sheets and rates to ensure F&A recovery is correct
- Recording period of performance, applicability of expanded authorities, invoicing, billing, and reporting requirements (both technical and fiscal)
- Ensuring appropriate compliance approvals are in place prior to award activation (i.e., animal or human subject protocol approvals)
- Performing daily data feeds
- Using SAP to create sales orders and sales contracts necessary for invoicing
- Advising administrators on appropriate award setup including complex account structures (e.g., multi-sponsor consortia)
- Interacting regularly with senior staff accountants and sponsored accounting officers within the Office of the Vice President for Finance to ensure accurate reporting and closeout of sponsored awards
- Maintain consortia structures
- Performing other duties as assigned, including participation on Institute working groups, training administrative personnel, working on special projects, reporting, etc
Skills
- Bachelor's degree in finance, business administration or related field
- A minimum of one year of related experience, preferably in sponsored program administration in a university environment

- To learn and master complex internal/external system
- Understand the interdependencies involved when updating and manipulating those systems
- Experience with enterprise-wide systems including SAP and Kuali Coeus
