The Administrative Assistant will provide essential administrative support to the Client Advisory and Office Management Team, ensuring seamless communication and organization within the office. Responsibilities - Screen incoming communications and route for action and follow-up - Communicate with both internal and external contacts including significant prospect and client relationships - Draft and proof standard correspondence - Establish effective working relationships with colleagues and external contacts - This role may be required to provide flexible support to other Managers as required - Assist with bookkeeping and accounting for various client transactions - Comprehensive organization of meetings and luncheons as needed - Detailed calendar management and coordination of travel arrangements - Prepare and submit expense reports in a timely manner - Welcome and assist guests visiting the office - Provide general support to the Office Manager as needed - Handle routine communication with clients and their advisors via telephone, email, and fax - Document written and verbal client interactions in Salesforce - Prepare charts, spreadsheets, and materials for client meeting presentations using Excel, Word, PowerPoint and internal applications as needed - File correspondence and other documents in internal databases - Provide general support to the Client Advisory Team as needed - Collaborate with the Client Administration Team to open accounts and coordinate with outside agents the transfer of assets to Bessemer - Perform cash management functions using Workflow and Atlas in accordance with established account procedures and applicable fiduciary laws and policies - Process client remittances and bill payments Skills - Bachelor's Degree - Excellent oral and written communication skills - Adaptable and versatile skill set - Strong attention to detail - Experience with Salesforce - Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) - Thoughtful interpersonal skills - Comfort working within a team Benefits - May be eligible to participate in the relevant business unit’s incentive compensation plan - Eligible employees may participate in a 401(k) program with a generous profit-sharing contribution - Medical, prescription dental, and vision coverage - Life insurance - Disability coverage - Paid holidays - Vacation - Sick time - Competitive base salary plus discretionary annual bonus for select positions - A 401(k) plan with a generous annual profit-sharing contribution - Personalized development and career opportunities, including tuition reimbursement support - Comprehensive medical, dental, and vision plans with zero contributions for employee coverage - Employee assistance (EAP) and wellness programs - Hybrid work environment: 60% in office, 40% remote for most positions - Paid time off and paid parental leave - Employer-paid life insurance and short- and long-term disability coverage - Legal services and financial wellness plans at no cost to employees Company Overview - Bessemer Trust is an investment management, wealth planning, and client service.
